Microsoft Stream Recording/Sharing Processes

Record a Meeting, or group call, in Teams to capture audio, video, and screen sharing activity. A recording happens in the cloud, and is saved to Microsoft Stream within Office 365 (click the squares in the upper left to find Stream) allowing you to securely share it across your organization, or with just a select few. 

Play/Share/Store Meeting Recordings

I.  Play a meeting recording in Teams

After a Teams meeting has ended:

  1. Go to YOUR chat history list.
  2. Find the Chat associated with the Meeting Recording that you want to listen to.
  3. Scroll to the bottom of the Meeting Chat.
  4. Click the Meeting Recording icon/link. 

Begin listening to the meeting recording directly in Teams.

 II.  Play a meeting recording in Stream

If you own the meeting recording, you can also find it on Microsoft Stream. Just select My Content > Videos.

III.  Who can view a meeting recording?

When the recording is uploaded to Microsoft Stream, the recorder is the owner of the video and the people in their org who were invited to the meeting are the viewers. The owner needs to give permission or download the video to share the recording beyond these people.

NOTE:  Permissions can change the viewing options for members of the Team through MS Stream.  See below.

IV.  Share a link to a meeting recording with others

If you recorded the meeting, you can share the recording with people who are outside of your org or who didn’t attend the meeting, but you need to take a few additional steps. 

Note: Only the owner of the meeting recording can update permissions for the recording. 

Step 1. Set video permissions in Stream

Change the permissions for the video to allow groups or individuals to view it in Stream.

As the meeting recording owner, find the Meeting Recording:  

  1. Go to YOUR chat history list.
  2. Find the Meeting Chat.
  3. Scroll to the bottom of the Meeting Chat.
  4. Find the Meeting Recording icon/link. 
  5. Click the Options (ellipses) to view options (right corner).
  6. Select “Open in Microsoft Stream”. 

In Microsoft Stream:

  1. In the Permissions section, add people or O365 groups who need viewer or owner access to the video.
  2. See Permissions and privacy for details
  3. To allow the entire organization access to the video, make sure to check the box at the top “Allow everyone in your company to view this video”.  Otherwise, make sure it is NOT checked.
  4. Additional owners/viewers can be also be added by a recording owners.

Step 2. Get a link to share

In Teams:

  1. Find the Meeting Recording in the Meeting Chat screen.
  2. Click on More options in right corner of Meeting icon/link.
  3. In the dropdown list, Choose Get link.
  4. In the Get Stream link dialog box, select Copy.
  5. Paste the link into an email or
  6. Teams message and select Send.

V.  Download a meeting recording

Recording owners can download and distribute their meeting recordings.

As the meeting recording owner, find the Meeting Recording

  1. Go to YOUR chat history list.
  2. Find the Meeting Chat.
  3. Scroll to the bottom of the Meeting Chat.
  4. Find the Meeting Recording icon/link. 
  5. Click the Options (ellipses) to view options (right corner).
  6. Select “Open in Microsoft Stream”. 
  7. Above the OPTIONS box, on the Microsoft Stream portal, click Download video.
  8. Click Share button on the bottom right of the screen.
  9. A copy of the video will download into the DOWNLOADS Folder on YOUR computer.
    • Find the copy in YOUR Downloads Folder:
    • Copy/paste into another File Folder on YOUR Computer. Then, you can share the recording any other way you choose.
    • Add the video to a Teams conversation by selecting Attach beneath the compose box.
    • Click/drag into a Channel Folder in Teams.
